Community Association Committee

Minutes of meeting - 7th November, 2001 at 7.30pm

Welcome
Caroline welcomed everyone to the meeting in her opening remarks.

Apologies
Apologies for non-attendance were received from Stephen Renton and Jenny McGee.

Minutes
After discussion the meeting adopted the minute of the previous meeting on the motion of Liz Canning seconded by Allison Battley.

Funding report for extension
Finlay said as far as he was aware the builder's bond for the project was in the hands of the builder's solicitor and that a woman solicitor acting for the Council was pursuing the matter. He had no further information and hopefully the matter could be resolved in the near future. George made the point that he was worried we could lose the Council money by default, as we had been told we must spend the money within 12 months. Caroline asked Finlay to e-mail Willie Wilson to ask him to keep us informed and it was important that we be represented at any meetings that are held regarding this matter.

Financial report
The Treasurer said there had been little change since his detailed 6 month report at the previous meeting. Finlay also mentioned it was rumoured the nursery may be looking for extra hours. He intimated also that he had a water bill and that we would possibly get a 75% reduction on this.

The Treasurer said it was his intention to get rid of the existing pay phone line, explaining that we could use the alarm line for pay calls. It was generally accepted that some form of call-bar should be put on this line, perhaps the alarm premier number plus local calls only. On some occasions the relevant user groups may decide to lock the door of the phone room.

Finlay also brought up the subject of the disco equipment and said his brother had made some progress regarding this. Sian mentioned she had got three new bulbs for the lights but could not get a 15 amp fuse for the equipment. After discussion it was agreed if Finlay's brother could repair the unit he should be paid for his work. A budget of £250 was set to try to fix the equipment.

The Treasurer wished to purchase computer software called quick books to assist with the invoicing. This would cost approximately £100, this purchase was agreed by the committee.

The committee agreed to meet in the hall at 4p.m. on 30th November to put up the decorations. It was also agreed that £100 be spent on new decorations.

Secretary's report
The Secretary read a letter from the Council regarding the switching on of the Christmas Tree lights on Friday 30th November at 7.15p.m. The Council also wished the use of the Centre from 7.30 to 8.15p.m. for a small buffet for helpers and guests. Unfortunately this would mean the Judo Club would miss a night of their club.

Caroline said she would be attending a meeting regarding grants at Boglestone Community Centre on Saturday, 1st December.

Letting report
Kirsty said there were still parties coming in and everything was going well.

Sharon Black mentioned that John Campbell was very impressed with the disco equipment and was keen on having a 60s and 70s disco night for adults, this would be run as a fund raiser for the Community Association.

Matters arising
Finlay brought up the matter of the lease for the centre and explained we had to supply a list of the current committee, to the Council. George agreed to let him have this as soon as possible.

Date of next meeting
After discussion it was agreed the next meeting of the Committee be held on Wednesday, 5th December, at 7.30p.m. in the Inverkip Hotel.
